TERMS AND CONDITIONS
GENERAL CONDITIONS
The Client agrees to all terms and conditions specified below. While we strive to accommodate all requests, booking areas and preferences are subject to availability. We are not responsible for weather conditions or factors beyond our control. We reserve the right to cancel any event without notice if it does not comply with our Terms & Conditions.
BOOKINGS
Many areas of the venue are available for events. If a tentative booking is made and another party wishes to book the same area, we will attempt to contact you to confirm your requirement for the space. Bookings are finalised once a deposit is paid and the confirmation form is signed and returned. Please note, we do not host 18th, 19th, or 20th birthdays, bucks parties, hen’s parties, party buses, or political parties.
Function bookings are for a duration of 3 hours, unless otherwise arranged with your Events Coordinator. Early access to the function space must be discussed with your Coordinator.
DEPOSITS AND PAYMENT
A deposit of $250 is required in advance of your event. This deposit will be credited towards your account on the day/night of your event. Payments are to be made in full on the day of your booking via cash, EFTPOS, or credit card. EFT payments must be made prior to your reservation date and only by prior arrangement with your Events Coordinator.
Full payment for all costs associated with 21st Birthdays (food, beverages, security, and bond) must be made 7 days prior to the event.
MINIMUM SPEND REQUIREMENTS
The Wembley has minimum spend requirements for certain areas. Please consult your Events Coordinator, as these requirements may vary due to seasonality or other factors. Minimum spend is based on food and beverages only. If your minimum spend is not met, you will be charged for the difference.
MENUS AND DIETARY REQUIREMENTS
Our menus are subject to change based on seasonal and fresh produce availability. You will be notified of any pricing changes in writing as soon as possible. Orders must be finalised 10 days prior to your event, at which time you must notify us of any special dietary requirements for your guests. Please note that although all care is taken when catering for special dietary needs, our premises handle nuts, seafood, shellfish, sesame seeds, wheat flour, eggs, fungi, and dairy products. The decision to consume a meal is the responsibility of the diner.
Final guest numbers must be confirmed 10 days prior to your event. The confirmed number will be the minimum number of guests for which you will be charged.
CONSUMPTION
Event organisers are not permitted to bring their own food or beverages under any circumstances (birthday and wedding cakes are an exception). Cakes incur a cakeage fee of $25 to be individually sliced and served to guests. Please inform your Events Coordinator if you are bringing a cake. If you wish to arrange something special for your event, please speak to your Events Coordinator.
CANCELLATION OF A BOOKING
Cancellations must be made in writing via email or post. You may cancel your booking up to 10 days prior to your event. Cancellations made after this time will result in forfeiture of the deposit.
MUSIC
We provide in-house music for all events. Our music system is piped throughout the venue; we cannot accommodate outside entertainment such as DJs, jukeboxes, or iPods on the ground floor. Please confirm available music options with your Event Coordinator for events in the White Room.
AV
If you are using our projector, it is your responsibility to ensure that your media is formatted correctly. We do not supply additional cabling or connectors. We recommend that you test your equipment and/or media on our system prior to your event.
SIGNAGE
Nothing is to be nailed, screwed, stapled, or adhered to any wall, door, or surface. All signage in public areas must be approved by Management.
LICENSING
All persons attending the venue must be able to provide adequate identification or proof of age on request. Acceptable forms of ID in Western Australia include a current passport, proof of age card, or driver’s licence. The Wembley reserves the right to refuse entry or service to any persons considered intoxicated, underage, or disruptive. Guests deemed intoxicated or disruptive will be asked to leave the venue.
DUTY OF CARE
Under the liquor licensing laws of Western Australia, we have a duty of care to all our clients. Our Duty Manager reserves the right to refuse alcohol service to anyone deemed intoxicated and at risk of harming themselves, others, or property. We do not tolerate unsocial or reckless behaviour. Guests will be asked to leave if their behaviour is deemed inappropriate. Functions may be shut down at our discretion if house rules are violated.
RESPONSIBILITY, CONDUCT, AND SECURITY
You are responsible for the conduct of your guests and invitees. You must ensure that your event does not disturb other patrons. You will be financially responsible for any damage caused to the venue, including fixtures, fittings, furniture, and glassware. General cleaning is included in the event cost; however, additional cleaning fees may apply for any special cleaning required after your event.
The Wembley does not accept responsibility for the loss or damage of goods left on the premises before, during, or after your function.
For all 21st birthday celebrations, security will be required for the duration of your event. The Wembley will arrange for a security guard. All 21st functions must be disclosed to The Wembley. If not, we reserve the right to cancel the event.
You will also be required to pay a bond, refundable no later than 7 days after your event, provided no damage has occurred and there have been no breaches of policies. We reserve the right to charge your credit card for any damage or breaches caused by you or your guests.
DRESS CODE
While themed parties are permitted in the White Room, all attire must be appropriate, clean, and non-offensive. Functions in general areas (Courtyards, Lane Way) are subject to the venue’s dress code, which is stated at the entrance. Please consult your Events Coordinator for further clarification.
UNDER 18’s
As a licensed venue, The Wembley complies with the Liquor Control Act 1988, which prohibits anyone under 18 from entering or remaining on the premises, except under specific circumstances. Guests under 18 must be accompanied by a legal guardian at all times and must leave the venue by 9pm.
